Operations Coordinator

Position:          Operations Coordinator
Reports to:       Chief Executive Officer
Position Type: Full-time, Exempt
Summary:        The Operations Coordinator will support all administration, operations, communications, logistics, and philanthropic services.


The Community Foundation of Utah (CFU) is looking for a talented, organized, and driven Operations Coordinator to support the organization’s vision and mission. This position fulfills a multi-functional and vital role at CFU. He/she is responsible for ensuring the success of CFU’s mission and values by coordinating office operations, event logistics, communications, general administration, and philanthropic services. Candidates for this role must have strong writing skills, be tech-savvy, and thrive in a dynamic environment that rewards independent work.

Primary activities include, but are not limited to:

Office Operations

  • Manage memberships, certifications, registrations, and vendors
  • Run accounts payable
  • Reconcile separately managed accounts
  • Manage office mail, files, and select data
  • Schedule appointments and manage office calendar
  • Order office supplies
  • Provide support to Foundation staff, including clerical assistance
  • Manage IT/system setup for new/existing staff
  • Compile and organize standard operating procedures


  • Update website and social media content as needed
  • Manage job posting and hiring logistics
  • Record and prepare meeting minutes
  • Design flyers and select marketing materials

Donor Services

  • Create and distribute select donor and partner communications, including thank you and acknowledgement letters
  • Increase the effectiveness and efficiency of donor support services, including coordination and communication between team members
  • Supplement Donor Services Manager as needed

Initiatives and Events

  • Manage EY Entrepreneur of the Year and Utah Ethical Leadership Awards initiatives
  • Coordinate event planning and logistics for CFU initiatives and activities, including Social Investors Forum, Invest in Success, Utah Grantmakers Alliance and Women’s Giving Circles

Other Responsibilities

  • Accounting support, including but not limited to check and payroll administration
  • Grantwriting and submission support
  • Special projects as assigned


  • Minimum of two years of work experience in a professional setting
  • Strong organizational and time management skills with exceptional attention to detail
  • Outstanding ability to work independently, problem-solve, and achieve results with minimal direction and oversight
  • Excellent research, writing, editing, and communication skills
  • Outstanding interpersonal skills and a desire to connect with community members, staff, and CFU’s Board of Directors
  • A desire to learn and grow with a “can do” attitude and desire to broaden skill set and knowledge base
  • Knowledge of all Microsoft programs and high level of computer literacy
  • Willingness to work some evenings
  • Knowledge of the local philanthropic landscape a plus
  • Basic graphic design skills a plus
  • Development, grantwriting, and communications experience a plus
